Why doesn’t vabletNotes join my meeting as a bot?

The short answer
Because it listens through your phone’s microphone in the room, the way a person taking notes does. Nothing joins your call, nothing appears in the participant list, and nothing about the meeting is sent to a server.
What a meeting bot is
Most AI notetakers cannot hear your meeting on their own. They need the audio on their servers to transcribe it, and the way they get it is to join your video call as an extra participant. That participant is the bot. Everyone on the call sees a name like “Notetaker” or “AI Assistant” arrive, and from that moment the audio of the meeting is being streamed to the vendor, and usually on from the vendor to the speech and language providers it rents.
Some tools avoid the visible participant by installing something on your computer that captures system audio instead. The effect is the same: the meeting leaves the room and is processed somewhere you do not control.
What that costs you
- A third party in every meeting. Clients and colleagues see it join. Some ask it to leave; some quietly say less.
- Your meeting on someone else’s servers. The vendor holds the audio and the transcript, and so do its subprocessors. Each one is a name for your security questionnaire and a party to any breach or subpoena.
- Terms that can change. A promise not to train on your data is only as good as the company, its next funding round and its next acquirer.
- A calendar integration. To know which calls to join, the bot usually needs read access to your calendar.
What vabletNotes does instead
It listens through the microphone of the phone or iPad on the table, the way a person taking notes does. Transcription happens on the device using Apple’s on-device speech recognition, and the notes are written by Apple Intelligence, also on the device. There is no vabletNotes server, so there is nothing to join, nothing to stream and nothing for us to hold.
The trade is honest and worth stating: vabletNotes hears what a person in the room would hear. It is not a tap on the call itself.
In a room versus on a call
In a room is what it was designed for. Sales visits, clinic and site meetings, one-to-ones across a desk, a conversation in a car park. Put the phone face up between the people talking and it captures the room.
On a video call it works when the call is audible in the room. Your laptop speaker plays the other side, you speak, and the phone on the desk hears both. It does not work if you are wearing headphones, because then there is nothing in the room for it to hear but you. If most of your meetings are remote and on headphones, a cloud notetaker with a bot is the right tool and this is not.
Questions people ask
Can vabletNotes record a Zoom, Teams or Google Meet call?
It can capture what is audible in the room. If the call is playing through a laptop or phone speaker, vabletNotes on the table hears the same thing you do and transcribes it. It does not join the call, does not appear in the participant list, and cannot hear anything you are listening to through headphones. It was built for meetings in a room; on a call it is a workable second choice, not the design.
Do the other people know I am recording?
Only if you tell them. Nothing appears on a screen and the meeting count-in is silent on purpose, so the app does not announce itself. That is why saying so out loud is on you. Recording laws in many places require the consent of everyone present, and processing on your own phone does not change that.
Does it need an internet connection?
No. Recording, transcription and writing the notes work in airplane mode. The only steps that need a connection are the ones that leave the phone by your choice: sending the follow-up email and adding a calendar entry, which go to your own mail and calendar providers.
